This notice explains what personal information Ashford Neath Recruitment Ltd, trading as Ashford Recruitment, collects, why we collect it, who we share it with and what rights you have. It applies to candidates, clients, website visitors and anyone else who contacts us.
Who we are
Ashford Neath Recruitment Ltd, trading as Ashford Recruitment, is an employment business and employment agency supplying temporary and permanent workers across the West Midlands. We are the data controller for the information described here.

Information we collect about candidates
To place you into work we need to know who you are, what you can do and whether you are legally able to do it. That means we collect:
- Name, address, telephone number and email address
- Work history, skills, qualifications, licences and tickets, including FLT and driving entitlements
- Right to work documentation, including passport, visa or share code details
- Proof of identity and address
- References, usually a minimum of two
- Bank details and National Insurance number, so we can pay you
- Availability, shift preferences and how far you are able to travel
- Records of assignments, timesheets, attendance and any performance matters
- Correspondence with us, including messages sent through WhatsApp or our website
Special category and criminal records data
Some roles require more sensitive information. Where relevant we may hold:
- Health information, where it affects your safety at work or an adjustment we need to make
- Criminal records information, where a role is eligible for a DBS check. This is handled under our Safeguarding and DBS Policy
We only process this information where we have a lawful basis to do so and, for criminal records data, where the role is legally eligible for the level of check requested.
Information we collect about clients
For businesses that hire through us we hold contact details for the people we deal with, records of assignments and vacancies, site requirements, rates and terms, plus correspondence.
How we collect it
- Directly from you, by phone, in person, by email or WhatsApp, or through a form on this website
- From job boards and application platforms where you have applied to a role
- From referees you have named
- From referrals, where somebody has passed on your details with your knowledge
- From publicly available professional sources such as LinkedIn

Where we rely on legitimate interests, we have considered whether our interest in running a recruitment business is outweighed by your rights. You can object at any time, as set out below.
Who we share it with
- Clients, where we are putting you forward for a role or you are placed on assignment
- Our recruitment software provider, which stores candidate records securely on our behalf
- Payroll and accountancy providers, so that you are paid correctly
- HMRC and other authorities, where we are required to report or disclose
- Referees you have named, when we take up a reference
- The Disclosure and Barring Service or an umbrella body, where a check is required
We do not sell your information to anybody.
How long we keep it
We keep candidate records for as long as we have a live relationship with you and then for a period afterwards so that we can put you forward for future work and meet our legal obligations. Payroll and tax records are kept for the period required by law. Right to work documents are kept for the duration of employment and a period afterwards, as required by the Home Office.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the information we hold about you
- Have inaccurate information corrected
- Ask us to delete information, where there is no good reason for us to keep it
- Object to us using your information for a particular purpose
- Ask us to restrict how we use it while a concern is resolved
- Ask for your information in a portable format
- Withdraw consent, where we relied on consent

Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
